Vagaro has opted to ignore my emails. Here is the email I sent explaining the problem and it has been 5 days with no reply. The crux of the matter is their documentation says they can provide an export excel file of all customer data including service dates. Their help desk informed me that to get service dates one must go to the individual customer and download each separately. I have over 4000 customers! Thank you for following up. This is for ticket 3892053 I’d like to clearly explain the issue and my expectations so there is no misunderstanding. Following Vagaro’s acquisition or merger with Schedulicity, I was required to transition to or at least trial the Vagaro platform. At the time of onboarding, I was led to believe that if Vagaro did not meet my needs, I would be able to export all of my customer data, including complete visit and scheduling history. Given that Vagaro is a scheduling and practice management platform, this seemed both reasonable and consistent with industry standards. It is also functionality that was available in the other scheduling platforms I have used. I am attaching a screenshot from Vagaro’s own help desk documentation, which explicitly states that to back up all customers and their dates of service, one can export this data via Reports → Customers → Customers, with service dates included, as an Excel file. This documentation clearly represents that a full export of customer data, including visit history, is available as a single report. [taken directly from Vagaro’s documentation] [To back up all your customers and their dates of service in Excel: Go to Reports → Customers → Customers. Optionally, apply filters to include service dates. In the bottom-right corner, select Export, then choose Excel. This will save your customer list and service details as an Excel file.] Based on these representations, I reasonably relied on the understanding that my data, including historical visits, would remain accessible to me in a usable and exportable format. Unfortunately, Vagaro has proven unsuitable for my practice. I previously communicated this when contacted by Vagaro after the transition, but I never received a follow-up. Since the move, I have experienced persistent and significant operational issues, including repeated instances of duplicate or back-to-back appointments being booked by patients who insist they only scheduled once. This occurs multiple times per week and has continued consistently since the transition. I have also experienced performance issues, unnecessary system prompts, and overall platform inefficiencies that I will not detail further here. As a result, I have decided to discontinue use of Vagaro. When I attempted to export my customer data and visit history, the process described in your documentation did not work. After reviewing the instructions multiple times and contacting support, I was ultimately informed that exporting visit history is only possible on a patient-by-patient basis. I currently have over 4,000 patients. Manually exporting records one at a time is not feasible and is not a reasonable interpretation of the guidance provided in your help documentation. To be clear, no reasonable user would interpret Vagaro’s published instructions to mean that “backing up all customers and their dates of service” requires exporting data individually for each patient. That interpretation directly contradicts the language and intent of the documentation. I am requesting that Vagaro provide a complete export of my customer data, including visit and scheduling history, in a single report or file, consistent with what is described in your help materials and with standard practice in this industry. Please let me know how this can be resolved promptly. I am simply asking for access to my own business and patient data in the manner that was represented. Thank you for your attention to this matter.

I used the app to book an appointment with a new stylist. Unlike booking on StyleSeat, apparently this app needs additional approval from the stylist. When booking, you have to pay 40% of the service to confirm.
I decided to cancel my appointment, as I wasn’t able to get in contact with the stylist to get a confirmation, and to my surprise the site said I wouldn’t be refunded the 40% that I already paid. This is contrary to what is listed under the cancellation policy, at the time of booking. The policy stated that cancellation had to be done 24 hours before the appointment in order to not be charged and I was cancelling a week before the appointment. I tried to call customer service and a recoding said that the number is for technical support and that all other calls would cost $10.

It just took me OVER HALF AN HOUR to get a customer service agent to tell me that I cannot edit a class once it has already started, for instance making it into a series rather than 1 class. I am annoyed that I can’t make such changes as an admin and a new user who is prohibited from correcting mistakes for my own business, but okay. But the waste of time - literally half an hour of waiting on this person to figure out the answer to a question that is so simple and so fundamental to the supposed purpose of their entire platform. I will probably go back to the stone ages of using an Excel spreadsheet and PayPal to avoid having to deal with such incompetence.

I want to love this app - and I really do love the convenience of booking a hair appointment any time of day. However, while I can appreciate that the developers keep the app updated, it inevitably makes me log back in every single time it updates. For some reason the app doesn’t work with the password memory feature on iPhone so it’s very inconvenient to try and remember my password, or reset it, every 6-8 weeks. I finally gave up and just started texting my stylist to make an appointment instead of using this app. If the developers would get the app integrated with the password keeper / facial recognition on iPhone I would start using it again. Until then it’s not convenient.
